1. Who We Are

ZOS Creative Ltd (trading as Champion Pride Equestrian) is the data controller for personal data collected through this website and the Sovereign Academy platform. We are committed to protecting your personal data and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data We Collect

We collect and process the following categories of personal data:

Account and Identity Data:

  • Full name and email address
  • Account login credentials (stored in encrypted form)
  • Purchase history and subscription status

Course Submission Data:

  • Written self-assessments submitted through the Platform
  • Video footage of riding sessions uploaded for module gate assessment
  • Photographs and documents relating to horses in your care (including passport pages and vaccination records)
  • AI-generated assessment results including Operator Biomechanical Index (OBI) scores and gate outcomes

Usage and Technical Data:

  • IP address and browser type
  • Pages visited and time spent on the Platform
  • Cookie identifiers (see Cookie Policy)
3. How We Use Your Data

We process your personal data on the following legal bases:

  • Contract: To deliver the Course you have purchased, process payment, and issue certificates upon completion.
  • Legitimate Interests: To improve our assessment methodology, develop training protocols, and build the anonymised clinical dataset that underpins The Sovereign System.
  • Consent: To send marketing communications. You may withdraw consent at any time.
  • Legal Obligation: To maintain financial records as required by HMRC.

We do not use your submission footage, OBI data, or horse documentation for any purpose other than Course delivery and methodology improvement unless you have provided explicit written consent for use in case studies or marketing.

4. Video and Biometric Submission Data

Riding footage submitted through the Sovereign Academy is used solely for the automated AI gate assessment process. Footage is uploaded to encrypted cloud storage (Amazon Web Services S3) and processed by the AI assessment engine. Footage is not manually reviewed by third parties without your prior knowledge, except by Champion Pride instructors as part of the submission review process.

Submission data is retained for 24 months from the date of submission, after which it is permanently deleted. You may request earlier deletion at any time.

5. Third-Party Data Processors

We share data with the following processors, all bound by appropriate data processing agreements:

  • Amazon Web Services (AWS S3) — secure cloud storage for video submissions and documents
  • Airtable — submission data logging and review
  • WordPress / LearnDash — platform hosting and course management
  • OpenAI — AI assessment processing (footage frames are processed, not stored, by OpenAI)
  • Revolut Business — payment processing

We do not sell your personal data to any third party.

6. Your Rights

Under UK GDPR you have the following rights:

  • Right of Access: Request a copy of the personal data we hold about you
  • Right to Rectification: Request correction of inaccurate data
  • Right to Erasure: Request deletion of your data (subject to legal retention requirements)
  • Right to Data Portability: Receive your data in a machine-readable format
  • Right to Object: Object to processing based on legitimate interests
  • Right to Restrict Processing: Request that we limit how we use your data

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

7. Data Retention

Account data: Retained for the duration of your account and 24 months following closure. Financial transaction records: 7 years (HMRC requirement). Course submission data: 24 months from submission date. Marketing consent records: Until consent is withdrawn.

8. International Transfers

Some of our processors (including AWS and OpenAI) may process data outside the UK. Where this occurs, appropriate safeguards are in place, including Standard Contractual Clauses approved by the ICO.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email. The current version will always be available at championpride.com/privacy.
